Terms of Service

These terms govern your use of LetterCraft’s website and document services. By using the service, you agree to these terms. If you do not agree, do not use the service. For questions, contact contact@lettercraftai.com.

1. Our service

LetterCraft provides templates and tools for creating, editing, saving, and downloading business letters and certificates. Some features require an account or payment. Document generation may use automated templates or an external AI provider, depending on service availability and configuration.

2. Accounts and eligibility

You must be legally able to enter into these terms in your jurisdiction. If you use LetterCraft for an organization, you must have authority to act on its behalf. Provide accurate account information, protect your sign-in credentials, and notify us if you suspect unauthorized access. You are responsible for activity you authorize through your account.

3. Your content and permitted use

You retain your rights in information and materials you submit. You authorize LetterCraft and the service providers described in our Privacy Policy to process that content as needed to provide the features you request, including storage and document generation.

You must have permission to use any personal information, logos, images, or other materials you submit. You may use generated documents for legitimate personal or business purposes, subject to applicable law and third-party rights.

Do not use LetterCraft to impersonate others, forge credentials or signatures, create fraudulent employment records or certificates, infringe intellectual property, distribute unlawful content, bypass payment or usage restrictions, access another user’s data without authorization, or interfere with service security or availability.

4. Document accuracy and AI output

You are responsible for reviewing every document before using or sharing it. Automated and AI-generated text may contain inaccuracies, omissions, or unsuitable wording. LetterCraft does not verify the facts you enter or certify the authenticity of a letter or certificate.

Templates and generated text are not legal, tax, financial, or other professional advice. Seek appropriate professional review where needed. We do not guarantee that a document will satisfy a particular employer, institution, authority, or legal requirement.

5. Prices, subscriptions, and payment

Available plans, prices, and allowances are displayed on the pricing page and at checkout. Prices are in USD unless stated otherwise. Review the final amount, billing interval, and any applicable taxes or fees before confirming payment. Stripe processes payments and provides the billing portal.

Monthly subscriptions renew automatically each billing period until cancelled. By subscribing, you authorize recurring charges according to the terms shown at checkout. Where a one-time document purchase is offered, it applies to the document version identified at checkout and does not create a monthly subscription.

Download allowances apply to the subscription billing period. Downloading a newly edited document version may use another credit; reprinting an unchanged version already downloaded does not use another credit. An unlimited download plan does not remove generation rate limits or other measures used to protect service availability.

Changing an advertised plan price does not by itself change an existing subscription’s billing amount. If we change terms affecting an existing subscription, we will provide any notice required by applicable law.

6. Plan changes and cancellation

Use Dashboard → Subscription → Manage billing to review available plan changes or cancel through Stripe’s billing portal. The portal shows the effective date and any applicable billing adjustment before confirmation. Cancellation stops future renewals according to the confirmation you receive; access depends on the subscription’s remaining paid period and status.

If you cannot access billing management, contact contact@lettercraftai.com for assistance. Removing Google sign-in access or stopping use of the website does not cancel a subscription.

7. Refunds and billing enquiries

For a billing error or refund request, email contact@lettercraftai.com with your account email and relevant payment reference. Do not send full card details. We review requests based on the circumstances and applicable consumer rights. Cancellation does not automatically issue a refund, and nothing in these terms removes rights that cannot lawfully be excluded.

8. Availability and account restrictions

We may maintain, update, or temporarily interrupt the service. Availability can also depend on hosting, authentication, payment, and AI providers. We do not promise uninterrupted or error-free operation. Keep your own copies of important documents.

We may restrict or suspend access to address suspected fraud, security risks, misuse, or violations of these terms. To request account deletion, contact support. Active subscriptions must be cancelled before account deletion is completed. Data retention and deletion are described in the Privacy Policy.

9. Intellectual property

LetterCraft’s branding, website design, software, and template materials remain protected by applicable intellectual-property rights. Your use of the service does not transfer ownership of those materials. These terms do not prevent you from using documents you legitimately create and download through the service. You must respect rights in third-party materials, and automated output may not be unique.

10. Responsibility and limitations

To the extent permitted by applicable law, the service is provided as available, without a guarantee that it will meet every particular purpose. You are responsible for decisions made using your documents and for checking their accuracy and suitability. Nothing in these terms excludes liability or consumer protections that cannot legally be excluded.

11. Updates and contact
